At Sinclair Duncan we want to provide a quick and easy shopping experience. We hope that all the information you need is covered below. If there is anything missing then we would love to hear from you. Our customer service team are available during the working hours of Monday to Friday 9am – 5pm. All our Sinclair Duncan staff have weekends off to spend with loved ones or family.
Orders received by 12 noon will be dispatched the same day (Monday to Friday). If an order is placed after 12pm on a Friday, it will be dispatched on the following Monday.
All UK orders are shipped via UPS. Once your order has been dispatched, you will receive an email containing your UPS tracking number. This can be used to track your order by entering it at www.ups.com.
Shipping is free for UK orders over £100. Orders under £100 are subject to a £5 shipping and handling charge.
All costs include VAT at 20%.
Orders are normally received within 1-2 days of being shipped.
All UK orders must be signed for.

All orders to countries within the EU are shipped using DHL (or UPS if order is to be delivered to Croatia, Cyprus or Malta) and will be subject to a £10.00 shipping and handling charge.
The final payment price at checkout INCLUDES shipping and UK sales tax (VAT at 20%).
Once your order has been dispatched, you will receive an email containing your DHL tracking number. This can be used to track your order by entering it at www.dhl.com. (For deliveries to Croatia, Cyprus and Malta visit www.ups.com).
Orders are normally received within 3-5 working days from being shipped.
We currently ship to the following countries outwith the EU: Australia, Canada, China, Japan, New Zealand, Russia and the USA. If your country is not listed, please get in touch via email and we will check shipping costs for you.
All orders will be subject to a £10.00 shipping charge.
UK Sales Tax (VAT at 20%) will be deducted from the grand total at checkout.
Please note that you, the customer, are fully responsible for any customs and duty costs incurred.

International orders are shipped using the Royal Mail. We use the following services:
Australia: Royal Mail International Tracked – 5 to 7 working days delivery from date of dispatch.
Canada: Royal Mail International Tracked and Signed – 3 to 5 working days delivery from date of dispatch.
China: Royal Mail International Signed – 5 to 7 working days delivery from date of despatch.
Japan: Royal Mail International Tracked and Signed –5 to 7 working days delivery from date of despatch.
New Zealand: Royal Mail International Tracked – 5 to 7 working days delivery from date of dispatch.
Russia: Royal Mail International Signed – 5 to 7 working days delivery from date of dispatch.
USA: Royal Mail International Tracked and Signed – 3 to 5 working days delivery from date of dispatch.
For tracked services, you will receive an email with your tracking number. You can follow your parcel at www.royalmail.com
We aim to deliver your order as soon as possible and within the targets outlined in our ‘Delivery’ section. On occasion, we may not be able to meet these targets due to circumstances out-with our control, relating to, but not exclusively, shipping companies UPS and DHL.
We fully respect your privacy and have taken every measure to ensure we comply with the GDPR (General Data Protection Regulation, 2018) and the Sale of Goods Act 1979. Below we detail what information is gathered on our website and how it is used.
Sinclair Duncan Textiles Ltd (Company registration no. SC458597, registered address: Channel House, Channel Street, Galashiels, Scottish Borders, TD1 1BA, UK) is the Data Controller of the personal information you provide us. We are responsible for looking after it in the way you have agreed to.
To enable us to process your order, we will ask for your name, address, email address and phone number. These details will be used to confirm and ship your order. You can tell us when you are ordering whether or not you would like to receive information about new products and special offers by ticking the opt-in box. If you choose to do so, we will keep your details for this purpose only. We will NEVER pass on your personal details to a third party, other than to our shipping company who will only use them to safely deliver your order. These companies may include Sykes Global Services Ltd (www.sykes-gala.com), UPS (www.ups.com), DHL (www.dhl.co.uk) and Royal Mail (www.royalmail.com). As Data Processors, they are also bound by law to look after your data responsibly.
If you wish for your order to be delivered to another address, we will ask for the name, address and phone number of the recipient. These details will be discarded once the products have been delivered. We will enclose our contact details within the parcel should the recipient wish to contact us directly in the future.
Please note children under 16 years of age are not permitted to enter personal information on our website.
If you opt-in to marketing emails by ticking the box at checkout, we will periodically send you emails to the email address you gave us. These may contain information about special offers as well as new products we think might interest you. We may also use your postal town and country to assist us in generating statistics about our customers. If you wish to unsubscribe from our mailing list at any time, please email firstname.lastname@example.org.
How long do we keep your data?
Customers out with the EU
We have a statutory requirement to keep the addresses of customers whose orders have shipped out with the EU. This is so we can tell the HMRC (Her Majesty’s Revenue and Customs) why we haven’t charged the customer VAT. This information will be kept for 5 years from the date of purchase. If we do not retain this information and cannot prove to HMRC that the goods were shipped out with the EU, we will be fined.
Unless the customer has opted-in to marketing emails, we will not use the personal data for any other purpose once the order has been shipped.
Customers within the EU (including the UK)
For all other customers, we will keep your personal data on file for 12 months from the date of the order in case you need to contact us again regarding their purchase. After this time, we will permanently erase your personal details.
Customers who have opted-in to marketing emails (any location)
We will keep your personal details until you choose to unsubscribe from marketing emails. You can do this by clicking on the ‘unsubscribe’ link at the bottom of all marketing emails. Alternatively, you can email email@example.com to let us know sooner.

In the unlikely event that Sinclair Duncan Textiles Ltd (the Data Controller) becomes aware of a data breach within the company or one of the Data Processors (i.e. Sykes Global Services Ltd, UPS, DHL or Royal Mail), we will notify the ICO (Information Commissioners Office – The Regulator) and the data subjects within 72 hours.

By using this website, ‘You’ (the customer) are agreeing to the terms and conditions detailed below. We may make changes to these Terms and Conditions occasionally and we advise that you re-read this information from time to time. The Terms and Conditions only apply to Sinclair Duncan products purchased on this website. Please contact the vendor directly if you any questions or comments about a Sinclair Duncan product purchased out-with the online store www.sinclairduncan.com.
We have made every effort to display as accurately as possible the colours and images of our products that appear online. We cannot guarantee that your computer monitor’s display of any colour will be accurate.
All descriptions of products or product pricing are subject to change at any time without notice, at the sole discretion of us. We reserve the right to discontinue any product at any time.
Payments can be made with Paypal, VISA, Delta/Electron, MasterCard/Eurocard, Maestro or American Express. All payments are managed via Paypal. You do not need to have an active Paypal account to make a payment using a credit or debit (bank) card. All payments are calculated in Pounds Sterling (GBP). There are no additional costs for paying with a credit card.
Payments will be taken immediately once you have confirmed your payment method and details.

If the Sinclair Duncan product you have received is faulty, you have the right to return it within 14 days from the date of delivery.

Once we have received payment, we will send an automated order confirmation to the email address you supplied at checkout. This will let you know that your order has been received and is being processed. You will receive a second email once the order has been packed and dispatched.
This will contain information about the carrier (UPS, DHL or Royal Mail depending on your location) and a consignment number.
In accordance with the Consumer Contracts Regulations, you have the right to cancel an order up to 14 days after it has been processed. If you have received your order within this timescale, please note that you will be responsible for the return shipping costs (please see ‘Returns’ for more information).
Please let us know via email, remembering to include your order number in the message, ( ‘contact us’ ) as soon as you decide to cancel and we will endeavour to cancel shipping where possible. We will transfer the corresponding payment back into your account within 14 days.
You will be sent an email containing your UPS, DHL or Royal Mail tracking number when your order has been dispatched. Please visit www.ups.com , www.dhl.com or www.royalmail.com and enter this number to check where your order is. If you have any difficulties, then please do not hesitate to contact us ).
Please let us know immediately if your order is not complete or we have not sent you the items you were expecting. We will then do our very best to remedy the situation.
If you receive your Sinclair Duncan product and are not entirely happy with it, you have the right to return it within 14 days from the date of delivery, provided that the goods are in resaleable condition (i.e. are unworn, unwashed, are in the original condition and still have tags on). Please be aware that the customer is responsible for the shipping costs incurred in returning the item.
Due to the high value of our products, please ensure that a suitable courier or postal service is used to return the item as Sinclair Duncan does not accept responsibility for missing returned goods.
If your Sinclair Duncan product is faulty in any way when you receive it, please contact us within 14 days of delivery and we will arrange for your product to be returned. The customer is NOT responsible for covering shipping costs when returning faulty items.
All returns must be sent to: Sinclair Duncan Textiles Ltd, Channel House, Channel Street, Galashiels, Scottish Borders, TD1 1BA, United Kingdom. Before mailing, please contact us (include your name, order number and products to be returned in the message) and we will supply you with a returns label to be included in the parcel.
Please mark your parcel and all paperwork with ‘RETURNED ITEMS’ to ensure import charges and taxes are not charged. Sinclair Duncan does not accept responsibility for payment of these charges should the customer fail to do this.
Once we have received your return, we will offer you a refund or an exchange to the value of your purchase. In the case of unsuitable item returns, we will only refund you the cost of the goods and not the shipping charge.
If you are returning a faulty item, we will refund you the cost of the returned goods as well as the basic rate shipping charge for your order. We endeavour to refund the money back to your account within 2 working days of receiving your return.
If you have chosen to exchange the item, we will process your exchanged item within 2 working days of receiving your returned item.
